Actions

An action is an individual step in a flow that represents specific tasks, for example, retrieving a model or sending an e-mail. A detailed description of the actions is available directly in the application. In addition to the predefined actions, you can define and use your own custom actions.

Flows offers the following action categories:

  • User interactions

    This category includes all actions that involve interacting with users directly, such as asking for input, requesting approval, or sending notifications.

  • Misc

    This category includes the Assign variables and the Timer actions. The Assign variables action enables you to set or update the values of variables while the flow is running. The Timer action delays the workflow based on the selected wait type either for a specified duration or until a specific date and time.

  • Logic actions

    This category includes all logic actions, such as Switch or And .

  • User management

    This category includes all actions that are performed on user groups and users.

  • Modeling

    This category includes all actions that are performed on databases, groups, models, objects, and attributes.

  • Publishing

    This category includes all actions that are related to publishing and Collaboration.

  • Document storage

    This category encompasses all actions related to documents and folders. It includes actions such as reading or updating document metadata, as well as deleting documents or folders. These actions are designed to work also with documents and folders stored in an integrated Microsoft® SharePoint repository and are fully functional subject to the access permissions granted by that repository.

Additionally, you can define your own action groups. All action groups are listed as individual categories. Any custom actions you defined within an action group will also show up under the related category.
